COVID-19 Policies and Protocols

WiCyS recognizes the Delta variant of the coronavirus and is mindful of keeping everyone safe. We are working in tandem with the Gaylord Rockies to ensure that all of our conference attendees can safely learn, network, and grow together in person once again. We will be following both the state of Colorado’s and the Gaylord COVID-19 policies. We are requesting that all attendees wear masks, regardless of their vaccination status. WiCyS will rely on an honor system where our attendees will be expected to self report and not attend the conference if they are experiencing any COVID-19 symptoms.

    Gaylord Hotels Health and Safety Cleanliness Standards

    Through ongoing consulting with a team of in-house and outside experts, the Gaylord has elevated its cleanliness standards, protocols, and procedures. For more information, please refer to the hotel policy HERE.

      Gaylord Hotels Technology

      The Gaylord will be implementing the latest technology to ensure a sanitary environment including electrostatic sprayers, thermal scanners and temperature checks at each entry point, and “touchless” services via the Marriot Bonvoy mobile app.

      Social Distancing

      In compliance with local and state mandates, occupancy limits and seating capacities have been reduced to allow for appropriate social distancing. We request all attendees wear masks.

      COVID-19 Self Reporting 

      All conference attendees will be required to self report and not attend any conference activities if they are experiencing any symptoms of COVID-19. Common symptoms can be found on the CDC website HERE

      Case Notification

      If the hotel is alerted to a suspected case of COVID-19, the guest will be directed toward appropriate medical care through the hotel staff, who follow the direction of local health authorities. Additional cleaning and disinfecting protocols of all areas that the guest may have been in during their visit will be conducted.

      Food Safety Protocols

      At Gaylord Hotels, food handlers and supervisors are trained on safe food preparation and service practices, and are required to conduct self-inspections using its food safety standards as guidelines, and compliance are validated by independent audits. We will not have buffets or any self-service food at the conference. 

      Deeper, More Frequent Cleanings

      The Gaylord has implemented extra-stringent daily cleaning procedures that are focused heavily on high touchpoint areas. In public spaces, Gaylord Hotels has added to its already rigorous cleaning protocols, the requirement that surfaces are treated with hospital-grade disinfectants and that this cleaning is done with increased frequency. Public spaces, including, but not limited to, the lobby, aquatic areas, fitness centers, and meetings & convention spaces, have dedicated staff to sanitize frequently throughout the day. Disinfecting wipes will be available in each guest room for guests’ personal use.
